Recording & Participation Policy™
BGE/BGIPA operates a recorded educational, artistic and professional environment. This page explains what that means for students and families, how passive and featured participation differ, and how media choices are established at enrolment.
A Recorded Learning Environment
Scheduled or designated BGE/BGIPA activities may be audio-recorded, video-recorded, photographed, livestreamed or otherwise captured. This applies online and in person and may include private lessons and coaching, classes, cohorts, MasterClasses, Mass Zooms, workshops, seminars, interviews, assessments, adjudications, rehearsals, performances, demonstrations, Speech Arts and speaking activities, hot seats, critiques, presentations, showcases, intensives, retreats, family experiences and other Institute activities.
Recordings may support instructional continuity, review, educational documentation, quality assurance, safeguarding, administration and institutional records and, where the applicable commercial authorization has been granted, educational publishing, evergreen products, institutional licensing, advertising, publicity and other authorized commercial use.
Passive Online Participation
Where passive camera-off participation is available, a student may receive the general educational experience without appearing visually on camera. For a minor, the parent or guardian is responsible for supervising the student’s camera, microphone, displayed name, profile image or avatar, background, chat, screen sharing and other user-controlled identifying information.
If you choose not to appear on camera, you are choosing passive camera-off participation and are responsible for controlling the identifying information, microphone and other user-controlled contributions that could otherwise be captured.
Featured Participation Is Recorded Participation
Featured participation may include singing or vocal performance; speech, speaking or Speech Arts™; readings, recitations, speeches or monologues; instrumental performance; acting; dance or movement; live coaching; adjudication; demonstrations; MasterClass performance; hot seats; critiques; interviews; featured question-and-answer participation; presentations; student showcases; ensemble/collaborative work; interdisciplinary work and other featured artistic or educational contributions.
If you choose to participate as a featured contributor, you are choosing recorded participation under the applicable Standing Commercial Media Authorization™.
By choosing to remain off-camera/non-featured, the student is choosing passive participation. Where passive auditing is available, the student may observe and learn but may not simultaneously participate as a featured contributor in an experience BGE/BGIPA designates as a recorded featured experience. This is an elected participation status, not a disciplinary penalty.
In-Person Experiences May Also Be Recorded
Every BGE/BGIPA in-person event or experience may be recorded. The fact that BGE does not record one event does not create an expectation that another event of the same type will not be recorded. Featured identifiable participation in an in-person experience designated for commercial/public recording requires the applicable authorization.
Standing Commercial Media Authorization™
At enrolment, families make a standing commercial-media choice. Where expressly granted, BGE/BGIPA may use authorized recordings and contributions for educational, editorial, institutional, commercial and promotional purposes. Authorized processing may include editing, cutting, trimming, cropping, excerpting, extracting clips, creating stills and highlights, captioning, subtitling, adapting for format or length, combining with other authorized material, replaying, publishing, distributing, advertising, marketing, selling and licensing material in media and technologies now known or later developed.
The authorization sought is, to the fullest extent permitted by applicable law, worldwide, perpetual, royalty-free, non-exclusive and fully paid-up, without repeated approval or additional compensation for each subsequent authorized use within its scope.
BGE Decides What It Uses
Permission to use a recording creates no obligation to use it. BGE/BGIPA alone decides whether authorized material is used, which participants or performances are selected, how much or how little is used, which clips are extracted, whether attribution is used, and whether material is never published or later withdrawn. Authorization creates no right to publication, publicity, promotional exposure, screen time, inclusion in a course, social-media exposure, advertising, evergreen inclusion or any future opportunity.
Private Instruction
Private BGE/BGIPA instruction is also recorded. Families make a separate standing choice about whether appropriate private-lesson/private-coaching recordings or excerpts may enter BGE/BGIPA’s commercial, promotional, evergreen and institutional media ecosystem.
Third-Party Material
A student’s or family’s authorization can grant only rights they control. Music, scores, backing tracks, scripts, choreography, images and other third-party material may require separate clearance. BGE/BGIPA may omit, mute, replace, edit, restrict or decline to publish material where third-party rights are not cleared.
Our Record of Your Choices
Consent and media selections are documented at enrolment so families do not have to be repeatedly asked the same questions for each class or event. Material changes to governing terms may require renewed acknowledgement. BGE/BGIPA preserves version and consent evidence so the permissions applicable to a recording can be verified later.
Interim policy: This policy forms part of BGE/BGIPA’s current interim operating framework and is applied subject to applicable law. It may be updated as the Institute’s systems develop; material changes will be version-controlled.
